Purpose of GDPR Policy
Reece Lipman Films Ltd (thereafter referred to as “The Company”; “our”; “we”) is committed to processing data in accordance with our responsibilities under the General Data Protection Regulation 2018 (thereafter referred to as “GDPR”).
The purpose of the policy is to explain clearly to clients and individuals appearing in our video content (thereafter referred to as “you”) how the Company collects, processes and stores personal data.

The Company is a data processer of personal data. We may change this privacy notice from time to time by updating this page in order to reflect changes in the law and/or our privacy practices. Data Protection Principles
Personal data must be processed in accordance with six ‘Data Protection Principles’ and so must:

The personal data we collect about you
The Information Commissioner’s Office (ICO) defines personal data as “information that relates to an identified or identifiable individual.” Personal information that we will process in connection with all of our services, if relevant, includes:

We never share personal data with third parties for sales and marketing purposes.
How we collect data and why do we have it
Under GDPR, the lawful bases we rely on for processing this information are:

How we use data
We use your information:

In all stages and activities relevant to delivering our services including — but not limited to — video production planning, filming, securing filming permits, gaining security access to locations, video editing, and designing and animating motion graphics (contractual reasons and / or for our legitimate interests)

To provide you with consultancy and support, guidance, reports, training, networks, groups & events, research and news (contractual reasons and / or legitimate interests);

To maintain our own accounts and records (legitimate interests and / or legal reasons);

To improve our products and services (legitimate interests);

Using data for statistical or analytical purposes (legitimate interests);

To process any transactions or financial payments required for our services (for contractual reasons and / or for legal reasons);

For sales and marketing purposes, we may provide you with information on products and services which may be of interest (for our legitimate interests or with your consent);
How we store data
The Company has robust measures in place to minimise and prevent data breaches from taking place. It has internal policies, procedures and controls in place to try and prevent your personal information from being accidentally lost or destroyed, altered, disclosed or used or accessed in an unauthorised way. In addition, we limit access to your personal information to those employees, contractors and other third parties who have a business need to know it in order to perform their job duties and responsibilities.
Should a breach of personal data occur (whether in respect of you or someone else) then we must take notes and keep evidence of that breach. If the breach is likely to result in a risk to the rights and freedoms of individuals, then we will also notify the Information Commissioner’s Office within 72 hours.

Your personal information may be shared with our client, sub-contractors and other members of the cast and crew to complete necessary production tasks, such as gaining access to filming locations and providing production updates.
Footage is transferred from camera memory cards onto hard drives. All hard drives stored securely at the Company’s secure office location
The director or producer must instruct the sub-contractor in writing to delete the rushes from the memory card shortly after the filming days once the data has been securely transferred.
Where an interview has been filmed remotely using a video conferencing tool, the director downloads the footage from Zoom and transfers it to the editor via WeTransfer. Once the editor confirms they have received the footage and backed it up securely, the director deletes it from Zoom and WeTransfer.
Once a project has been completed, the data is transferred to 2 identical archive hard drives where it is either archived in the Company’s secure office location or stored in an off-site secure storage facility.
Unless we explain otherwise to you, we’ll also hold your personal information based on the following criteria:

For as long as we have reasonable business needs, such as managing our relationship with you and managing our operations; and/or

For as long as we provide our services to you.
The data subject’s rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.
Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights, unless the request is unfounded, repetitive or excessive. If you make a request, we have one month to respond to you.
